Acuity, an award winning consulting firm based in Reston is seeking an enthusiastic, motivated and driven person to fill the role of Office Assistant.

 

In this role you will provide administrative, secretarial and clerical support to others in the office to maintain an efficient office environment.  You will be the focal for maintaining office operations by receiving and distributing communications; maintaining supplies and equipment; serving customers both internal and external.  You will not only fulfill these particular tasks but will be saavy enough to be proactive when tasks are completed.  You will be one of the first Acuity employee seen as visitors enter our facility and as such you need to have a professional presence when greeting and engaging these individuals, as well as, co-workers and staff of Acuity.

Responsibilities

  • Answer phones and transfer to the appropriate staff member, answer questions, or take and distribute accurate messages.
  • Greet customers, employees and guests and direct them to the correct staff member.
  • Maintain guest logs and issue appropriate badges.
  • Coordinate messenger and courier service as requested.  Receive, sort and distribute incoming mail if requested.  Receive deliveries and packages.
  • Maintain office filing and storage systems.
  • Prepare outgoing mail and packages for distribution.
  • Update and maintain internal staff contact lists.  Type documents, reports and correspondence.  Update and maintain databases such as mailing lists, contact lists and client information.
  • Organize travel arrangements for staff. 
  • Coordinate and organize appointments and meetings.  Order meals when requested and authorized.  Assist with event planning and implementation.
  • Monitor office supplies, anticipate requirements, submit office supply order for approval, accept delivery, verify receipt, and stock or deliver items to work stations.
  • Ensure office equipment is properly maintained and serviced.
  • Keep office area clean and tidy.
  • Provide individual support for others at the request of your supervisor.
  • Enhance Acuity, Inc.’s reputation by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments.

Qualifications

  • High School Diploma or equivalent.  Business college training an advantage.
  • Previous office experience.
  • Competent computer skills including MS Office.
  • Internet skills including use of e-mails, group messaging and data collection.
  • Numeracy and literacy skills.
