Acuity, Inc. seeks dynamic, self-motivated individuals for a Business Support Analyst. We are looking for a Business Analyst that can work closely with customers and be a liaison with the team. This position will be located in Washington, DC. This is a fully funded position supporting the office of the Director of ENM within the Department of State.

Responsibilities

The Business Support Analyst will support daily activities within the ENM Front Office including, but not limited to the following:

  • Administrative Management of the Office of the Director - Stay abreast on new policies to provide advice on requirements and process improvements; maintains deliverables to reflect administrative and Department requirements; prepares administrative paperwork; maintains a status on all personnel actions; manage and maintain Director’s schedule/calendar; researches, analyzes, and develops recommendations to substantive programmatic issues pertaining to the efficiency of programs.  Prepare office supply orders and maintains Senior Management’s office. Ensure backup roles and support for the ENM Director when required or as directed by the ENM Senior Management.
  • Project Management/PMO Duties - Monitor and report on the progress of decisions, assignments, and commitments made by the Director; Research and analyze program policies and draft documents and presentations for consideration as directed by Senior Management. Task Management Under the direction of the Director, perform the clerical tasks required to log and track status of internal and external. Review and analyze program history to identify issues or trends for discussion with the Director, which may have bearing in determination of future program direction.
  • Documentation and Communication - Draft correspondence (e.g. memos, official letters etc.) as required. Provide support as needed to send official correspondence. As directed by the Director, take meeting notes. As directed by the Director, provide document drafting support to FTEs and maintain briefing materials. Provides quality assurance on correspondence and presentations for consistency with Office’s procedure, timeliness, and format standards.
  • Liaison Activities - Follows policies and procedures to develop and maintain relationships; develops and implements plans designed to enhance relationships with targeted stakeholders. Serves as the first point of contact for staff and visitors to the Director’s office.  Schedules conference rooms as appropriate.
  • Organizational Planning - As directed by the Director, write and maintain organizational charts, program office policies, and special requests. Maintain centralized filing system and distribution lists.
  • Develop plans and provide support for official business activities such as Program Reviews, award ceremonies etc. Planning activities include defining processes, activities, key elements and issues as well as venue planning. Support activities include drafting documents and schedules; preparing activities and awards; capturing and tracking results.
  • Assist in the identification, development, tracking of internal, and customer facing policies for cross-cutting issues. Support the development and implementation of a Policy Broadcast Strategy to identify media/forum to present ENM policies to customers and ensure policies are reaching target audience.

 

Qualifications

Required Skills:

  • Excellent organizational, written and oral communication skills
  • Ability to take accurate notes during fast-paced meetings
  • Ability to work with limited supervision
  • Ability to multitask and prioritize and deliver high-quality, accurate work within targeted deadlines
  • Ability to work in a team
  • Ability to be sensitive to the confidentiality of information shared by Senior managers and other staff
  • Proficiency with e-mail programs, Internet search engine, all Microsoft Office products. Microsoft Visio and Microsoft SharePoint are required
  • Bachelor’s degree or an equivalent combination of education and professional experience is highly desired
  • Previous experience and in a professional office setting is required
  • Active and verifiable Secret level clearance.

 

Desired Skills:

  • Operational knowledge and ability to operate software applications that support business and project management operations (i.e. Microsoft Office Suite)
  • Knowledge and ability to identify the opportunity and/or need for change which can facilitate a smoother user interaction
  • Understanding of the mission-critical nature of the applications and the users’ need for mission-critical support of these tools
  • Continual Education/Training on best business practices and information technology is preferred
  • Work independently with minimal supervision to meet client requirements
